3. Slides Management in Microsoft PowerPoint

Slides Management refers to how you create, organize, and control slides within your PowerPoint presentation. It involves inserting, deleting, duplicating, and reordering slides, using sections for organization, and managing slide designs through the Slide Master.


1. Inserting a New Slide

A new slide is added when you want to introduce new content or topics in your presentation.

Steps:

  1. Go to the Home tab on the Ribbon.
  2. Click on the New Slide drop-down arrow in the Slides group.
  3. Select a layout (e.g., Title Slide, Title and Content, Two Content, etc.).
đź’ˇ Shortcut: Press Ctrl + M to quickly insert a new slide.
Example: If you are preparing a lesson presentation for "Photosynthesis", after the title slide, press Ctrl + M to add a new slide for “Definition of Photosynthesis”.

2. Deleting a Slide

You may want to remove unnecessary or duplicate slides to clean up your presentation.

Steps:

  1. In the Slides Pane (on the left side of the screen), click the slide you want to delete.
  2. Press Delete on your keyboard.

Example: If your presentation accidentally has two “Conclusion” slides, click one and press Delete.

3. Duplicating a Slide

Duplicating saves time when you want to use the same layout or design for multiple slides.

  1. In the left slide pane, select the slide you want to duplicate.
  2. Right-click it and choose Duplicate Slide.
đź’ˇ Shortcut: Select the slide and press Ctrl + D to instantly duplicate it.
Example: When creating a weekly report, you can duplicate a formatted slide and just change the week number.

4. Reordering Slides

Reordering helps you arrange your ideas logically and improve the flow of your presentation.

Steps:

  1. Go to the Slides Pane on the left side.
  2. Click and drag a slide to a new position.
  3. Release the mouse when you see a horizontal line between slides where it will be dropped.
Example: If your “Introduction” slide appears after the “Objectives”, drag it to the top.

5. Using Sections for Large Presentations

Sections help you group related slides — especially useful for long presentations or team projects.

Steps:

  1. In the left slide pane, right-click between two slides.
  2. Select Add Section.
  3. Name your section (e.g., "Part 1: Introduction", "Part 2: Analysis").
đź’ˇ You can collapse or expand sections to focus only on certain parts during editing.
Example: In a business plan, you might create sections like:
  • Company Overview
  • Market Research
  • Financial Plan
  • Conclusion

6. Slide Sorter View

Slide Sorter View shows all slides as thumbnails. It’s useful for reordering, grouping, and checking the overall flow.

How to Open:

  • Go to the View tab.
  • Click Slide Sorter in the Presentation Views group.
đź’ˇ Shortcut: Alt + V, then press D (in some versions of PowerPoint).
Example: Use Slide Sorter View before presenting to ensure the storyline flows logically.

7. Outline View

Outline View displays only the text content (titles and bullet points) of your slides — perfect for reviewing or editing structure and wording.

Steps to Open:

  • Go to the View tab.
  • Click Outline View.
đź’ˇ In Outline View, you can drag headings up or down to reorder slides quickly.
Example: Use Outline View to ensure your key points form a logical story before finalizing designs.

8. Slide Master Basics

The Slide Master controls the global design of your presentation — including background, fonts, colors, and placeholders. Changes you make here apply to all slides that use that layout.

When to Use Slide Master:

  • To apply consistent branding (logo, footer, font, color scheme).
  • To adjust default text positions or add a watermark.
  • To update layouts (e.g., add date placeholders to all slides).

Steps to Open and Edit Slide Master:

  1. Go to the View tab.
  2. Click Slide Master in the Master Views group.
  3. Edit the top-most slide to affect all layouts.
  4. Close Master View by clicking Close Master View on the toolbar.
đź’ˇ Shortcut: Alt + W + M opens the Slide Master in most PowerPoint versions.
Example: If your company’s logo changes, you can insert the new logo on the Slide Master — and it automatically appears on all slides.
