1. Layout Settings

Margins

Margins are the space around your text on a page.

  • Go to Layout > Margins.
  • Select pre-set options like Normal, Narrow, Moderate, or customize by clicking Custom Margins.
  • Shortcut: Alt + P, M (then select option).
Example: Setting top & bottom margins to 1.5 inches gives more white space for notes.

Orientation

Choose how your page is displayed: Portrait (vertical) or Landscape (horizontal).

  • Go to Layout > Orientation.
  • Select Portrait or Landscape.
  • Shortcut: Alt + P, O

Paper Size

Choose the size of your page (A4, Letter, Legal, etc.).

  • Go to Layout > Size.
  • Select a standard size or click More Paper Sizes to customize.

Gutter

Gutter adds extra space for binding in books or reports.

  • Go to Layout > Margins > Custom Margins.
  • Set Gutter width and position.

Line Numbers & Hyphenation

  • Line Numbers: Layout > Line Numbers > Add numbering to every line.
  • Hyphenation: Layout > Hyphenation > Automatic or Manual. Helps break long words across lines.

2. Breaks

Breaks divide your document into sections or pages for different layouts.

Page Break

Starts a new page immediately.

  • Insert > Page Break
  • Shortcut: Ctrl + Enter

Column Break

Moves content to the next column in multi-column layout.

  • Layout > Breaks > Column

Section Breaks

Creates separate sections in a document, allowing different headers, footers, orientation, or numbering.

  • Layout > Breaks > Section Breaks
  • Options:
    • Next Page: New section starts on next page.
    • Continuous: New section on same page.
    • Even / Odd Page: New section on next even or odd page.
Example: Use a continuous section break to change margins for only part of a page.

3. Headers, Footers, and Page Numbers

Headers & Footers

  • Insert > Header / Footer
  • Options: Blank, Built-in Styles, or Edit Header/Footer.
  • To remove, double-click header/footer > Delete content.
  • Shortcut: Alt + N, H for Header

Page Numbers

  • Insert > Page Number > Top / Bottom of Page.
  • Format Page Numbers: Change numbering style, start at a specific number.
  • Use fields: DATE, NUMPAGES, SECTION, STYLEREF for dynamic content.

Watermarks

  • Design > Watermark
  • Add pre-set watermarks or custom text/image.
  • Example: "DRAFT" watermark on documents not finalized.

4. Page Background

Page Color & Borders

  • Design > Page Color
  • Design > Page Borders
  • Customize border style, color, and width.

5. References Layout

Captions

  • References > Insert Caption
  • Label objects like Figures, Tables, Equations.

Numbering & Lists

  • References > Insert Table of Figures / Tables
  • Word will automatically number captions and create lists.

Cross-References

Link text to figures, tables, sections, or headings.

  • References > Cross-reference
  • Select reference type (e.g., Figure), choose item, and insert.
Example: "See Figure 3 on page 10" updates automatically if Figure moves.
